Document your AI inputs
Why this matters
Every file you upload to an AI tool becomes part of your chain of title. Documenting inputs now saves time later when festivals, insurers, or distributors ask for proof.
What to do
Before uploading any asset to an AI tool, log it in your Input Ledger. Takes about 30 seconds per file and keeps everything organized.
Quick check before uploading
Pro tip: Log each input BEFORE uploading to any AI tool. It's much harder to reconstruct this information after the fact.
Why do I need these templates?
Core Compliance Forms
These 8 templates make up your complete AI documentation packet
AI Usage Register
What It's For
The master log of every AI tool used in your production. This is your single source of truth for E&O insurance, festival submissions, and distribution deals. Essential for Marché du Film market readiness — sales agents and distributors at Cannes increasingly require complete AI usage documentation in acquisition packages.
When You Need It
Start on Day 1 of pre-production. Update every time you use a new AI tool or use an existing tool in a new way. Finalize at picture lock.
AI Shot Disclosure Map
What It's For
A frame-accurate breakdown showing exactly where AI-generated or AI-modified content appears in your film. This is what festivals and distributors review to understand your AI footprint.
When You Need It
Create the initial draft at rough cut. Update as you finalize VFX. Lock it at picture lock with final timecodes from your delivery master.
AI Tool Vendor Record
What It's For
Tracks the legal and commercial status of each AI vendor. This is where you document training data status, license types, and whether the tool grants commercial rights for film. Under emerging Authorized AI governance standards (per Vitrina and Cannes market expectations), verified training data provenance and licensed dataset attestations are becoming prerequisites for international distribution.
When You Need It
Create when you start evaluating AI tools for your production. Update whenever you sign a new license or a vendor updates their Terms of Service.
AI Input Asset Ledger
What It's For
Documents every asset (image, video, audio, text) you fed INTO an AI tool. This proves you had the rights to use those inputs and prevents chain-of-title disputes.
When You Need It
Update every time you upload or feed content into an AI tool. Essential for VFX, voice cloning, and any training or fine-tuning work.
Performer AI Consent Record
What It's For
Tracks consent status for every performer whose likeness, voice, or performance data is used with AI. Needed for SAG-AFTRA (including the 2025 Interactive Media Agreement's "recognizability" trigger and Digital Replica Rider), California AB 2602/AB 1836, and the SAG-AFTRA Commercials Contract (April 2025).
When You Need It
Before any AI processing of performer data. Best to handle at deal memo stage. Complete before VFX or voice work begins. Under the 2025 IMA, the recognizability standard — not intent — triggers consent requirements.
AI Post Production Log
What It's For
Detailed log of AI usage in post-production: editing, VFX, color, sound design, and mix. This is where most AI-touched content gets created.
When You Need It
Start at the beginning of post. Update daily or weekly depending on AI usage intensity. Finalize before delivery.
Marketing AI Asset Record
What It's For
Tracks AI usage in marketing materials: posters, trailers, social media, EPKs. Marketing assets often have different distribution rights than the film itself.
When You Need It
Start when marketing begins (often during post). Essential for distributor handoff and ad platform compliance.
AI Compliance Statement
What It's For
A one-page summary attestation signed by the producer(s). This is the "cover letter" for your AI compliance packet—often the only document festivals and distributors read first. Updated for Sundance 2026 disclosure requirements, Cannes/Marché du Film market expectations, and Cannes Lions mandatory AI disclosure enforcement. Meets EU AI Act transparency obligations for European distribution.
When You Need It
Create at picture lock. Attach to every festival submission and distribution package. Update if AI usage changes significantly. As of 2025-2026, all Tier 1 festivals (Sundance, Cannes, TIFF, Berlin, Venice) require or expect AI disclosure. Cannes market buyers may request this document during acquisition negotiations.
Organize Your Binder
Save these templates in a dedicated "AI Compliance" folder. Name files with dates (YYYY-MM-DD) for easy tracking.
Log in Real-Time
Don't wait until post to fill these out. Log AI usage as it happens for accurate, complete records.
Export at Picture Lock
Create final PDFs of all forms at picture lock. This becomes your official submission packet.
